What is the solution built on?
Probax’s Microsoft 365 Backup & Archive is a turn-key, cloud-to-cloud offering which provides a simple, automated, and secure backup and archive solution for users of Microsoft 365. Powered by Veeam Backup for Microsoft 365 (VBO) and Amazon Web Services (AWS), the solution offers granular pricing and protection for Exchange, OneDrive, SharePoint and MS Teams.
How often is my client's Microsoft 365 data backed up?
Our solution takes up to six point-in-time backups per day, for as long as your organization is active in Hive, and no outstanding authentication alerts remain.
Where is my client's Microsoft 365 data stored?
Your client’s Microsoft 365 data is stored in AWS (in a region/location of your choosing), secured with AES-256 bit encryption. Amazon’s data replication and security, global presence and 99% up-time availability makes it the perfect choice to ensure your data is safe and readily available.
How long do you keep my client's Microsoft 365 data?
We provide unlimited storage and retention of your client’s Microsoft 365 data in AWS.
Does the solution back up Exchange, SharePoint, OneDrive & MS Teams?
Yes, Probax's Microsoft 365 data protection extends to Exchange, SharePoint, OneDrive and MS Teams. We offer granular (e.g. Exchange Only) and full suite protection options.
What does it cost?
A fixed monthly price per user provides unlimited storage and retention in AWS, with the option to backup Exchange only, OneDrive and SharePoint only, or the full suite (Exchange, SharePoint, OneDrive and MS Teams) for a discounted bundled rate.

How does billing work?
We offer the following per user protection options and SKUs:
Full Suite Protection (F) - You will be charged a bundle SKU for every user who meets the billing conditions for Exchange Only (E) and SharePoint & OneDrive Only (SO). This SKU also includes MS Teams protection. For simplicity, we recommend using Full Suite Protection for all users.
Exchange Only (E) - You will be charged this SKU for each active Exchange Online mailbox that is protected by Probax Microsoft 365 Backup & Archive. You can enable and disable protection of individual mailboxes within an organization. Please note that we no longer charge for protecting Exchange data in Shared Mailboxes or Resource Accounts. However, it's important to note that any Shared Mailbox or Resource Account will still be charged for SharePoint & OneDrive Only (SO) if it still has OneDrive data protection enabled or if it still has access to one or more protected SharePoint sites.
SharePoint & OneDrive Only (SO) - You will be charged this SKU for every user who has OneDrive protection enabled or access to a protected SharePoint site. This includes users without a Microsoft 365 license and/or Shared Mailboxes & Resource Accounts.
Please note that we have implemented automatic activation of SharePoint Protection for all users who have access to a SharePoint Site that is being protected.
Additionally, external SharePoint users do not need to be licensed. An external SharePoint user is someone from outside your Microsoft 365 subscription to whom you have given access to one or more sites, files or folders.

What happens to the Microsoft 365 data of employees who have left the organization?
Microsoft 365 data belonging to employees who have left the organization are archived in restore points taken before their data was removed. Simply navigate to a historical restore point containing their Microsoft 365 data to initiate a restore.
In most cases, users who have left an organization have their mailboxes converted to a Shared Mailbox. We do not charge for Shared Mailboxes or Resource Accounts - meaning all user mailboxes that have been converted to a Shared Mailbox will continue to be protected for free. However, it's important to note that any Shared Mailbox or Resource Account will still be charged for SharePoint & OneDrive Only (SO) if it still has OneDrive data protection enabled or if it still has access to one or more protected SharePoint sites.
Organizations with users that have been removed will receive an alert in the 'informational' category, advising that this user's data cannot be found. This alert can be silenced by turning the user's backups to the 'off' position in the organization configuration area of Hive.

What do I need to whitelist to allow for full management/restore capability in M365
For customer's utilizing Conditional Access Policies, we recommend whitelisting the IP's of Probax's back-end machines processing M365 backups to allow full functionality in Hive:
3.83.111.173/32
- 3.222.146.26/32
- 3.222.143.26/32
- 52.65.16.244
- 52.65.16.100
54.253.45.193
- 13.237.51.71
Given the cloud-to-cloud nature of M365 backups, there are no backup images that we can export for our customers (like we normally would for Honeycomb Hot or Cold Storage backups). Customers are invited to restore as much data as they need directly through Hive if need-be, and are encouraged to do so before decommissioning organization protection. Restores through Hive are free of charge
